Position and missions
We are offering you a work-study contract as a Sales Administrative Assistant (ADV) at our headquarters in Marseille, at the Château-Gombert Technopole, to ensure the administrative management of customer orders from receipt to delivery of finished products in order to meet customer requirements while respecting internal and external procedures.
Reporting to the Sales Administration Manager, your responsibilities will be to:
• Implement customer account security requests
• Follow-up exports in accordance with the Authorized Economic Operator standard
• Participate in the administrative follow-up of customer orders, from the creation of customer accounts to payment of the order
• Act as an interface between production and the customer
• Represent the customer internally.
Your main activities as a Sales Administrative assistant will be :
• Create and update customer accounts
• Verify and decipher customer orders (internal/external codes, prices, addresses, incoterms, etc.), submit them to the ERP, and have them validated
• Issue the official acknowledgment of receipt with delivery deadlines
• Answer phone calls, and emails from customers and subsidiaries, and inform them of the progress of their orders
• Follow up and seek solutions with the relevant departments to meet customer requests in terms of delivery times to achieve the "zero delays, zero deviation" goal
• Contribute to the selection of transportation for shipping customer orders
• Provide transportation quotes to customers using rates, incoterms, and according to the degree of urgency and mode of transport
• Monitor the list of unpaid invoices, follow up with customers to pay overdue invoices, and propose corrective actions (formal notice, blocking shipments, advance payment, etc.)
